What You Print
The copier prints it. Someone at the front desk still finishes it.
A practice prints every day: statements after every cycle, reminders before every visit, intake forms for every new patient, and signage for every room. The copier handles the printing. The folding, sealing, cutting and shredding lands on the front desk, usually between patients, with protected health information on the counter while it happens.
Patient statements and balance letters
Today: Printed, folded, stuffed, sealed and stamped by hand, or sent to a statement vendor at about a dollar a piece plus per-page fees.
With finishing: A pressure sealer folds a one-piece statement form and seals it into its own mailer, no envelope, 3,000 an hour on the desktop unit. The January deductible-reset spike takes an hour instead of a week.
Appointment reminders and recall postcards
Today: Ordered from a printer in boxes of 1,000, or cut from copier sheets with a rotary trimmer.
With finishing: Print 4-up on cover stock and cut them on a card cutter with a postcard cassette, 144 cards a minute. Change the message whenever the schedule changes.
Intake packets, consent forms and patient-education booklets
Today: Six or seven loose forms collated and stapled in the corner, or outsourced welcome booklets that go out of date.
With finishing: A booklet maker turns the packet into a stitched booklet the patient can actually hold on a clipboard. Reprint when the forms change, not when the box runs out.
Exam-room signage, wall charts, instructions and ID badges
Today: Thin office-store laminate curls, clouds and peels under daily disinfectant wipe-downs.
With finishing: A heavy-duty pouch laminator runs 10 and 14 mil pouches that survive the cleaning schedule, up to 13 inches wide.
Referral letters, records requests and multi-page mailings
Today: Folded and stuffed by hand into #10 envelopes between phone calls.
With finishing: A folder/inserter folds up to five sheets and stuffs the envelope in one pass, 1,350 an hour. Incoming mail opens on an envelope opener at 200 a minute.
Protected health information at disposal
Today: A consumer shredder that jams on staples and overheats, or a locked console that sits full of PHI between vendor visits you pay for monthly.
With finishing: A P-4 or P-5 cross-cut shredder behind the front desk, or an auto-feed unit for records purges, destroys PHI the day it is no longer needed. Owned once, not billed monthly.
Prescription pads are controlled security paper and are not printed in-house; we do not sell them. Referral letters and after-visit summaries already print fine on your copier, and a folder takes them from there.
